STUDENT AFFAIRS ASSISTANT
GENERAL INFORMATION
The Student Affairs Assistant works closely with students throughout their academic journey, supporting their learning, personal development, and participation in university activities at the Faculty of Communication and Design. The position serves as a key liaison between students, the Faculty, and relevant university units, ensuring that students receive timely academic information, appropriate study guidance, and effective support in addressing issues that may arise during their studies.
We are looking for candidates who are proactive, communicative, student-oriented, good listeners, and capable of building positive relationships, with a strong sense of responsibility and good coordination skills.
KEY RESPONSIBILITIES
1. Academic and Student Affairs Support
- Respond to and support students with inquiries related to grades, examination results, and academic matters.
- Communicate academic announcements and guide students in planning their studies and course registration each semester.
- Monitor and consolidate students' course registration status to ensure compliance with the approved academic progression.
- Communicate class schedules, holidays, examination schedules, and other relevant academic information.
- Support students in registering for retaken or advanced courses to help them graduate on schedule.
- Monitor students' progress in National Defense Education, internships, field trips, and other practical learning activities.
- Support students with inquiries and issues related to tuition fees.
2. Student Advising and Support
- Assist students in developing appropriate study plans in accordance with their academic programs.
- Provide students with accurate and complete information about academic programs, majors, and graduation requirements.
- Listen to and support students in addressing difficulties and concerns during their studies.
- Receive student concerns and coordinate with relevant units to resolve issues within the assigned authority.
3. Student Development and Class Activities
- Coordinate class meetings and communicate information, regulations, and programs of the Faculty and the University.
- Communicate the University's vision, mission, and program learning outcomes to students.
- Provide basic academic and career orientation to students.
- Monitor and consolidate students' participation in Youth Union and student activities.
- Support the assessment and consolidation of students' conduct and extracurricular activity results at the end of each semester and academic year.
- Prepare lists of outstanding students and exemplary Youth Union members for recognition and awards in accordance with regulations.
4. Student Activities and Faculty Support
- Coordinate with relevant units to mobilize students to participate in university-wide activities.
- Track and record student participation and support the consolidation of participation scores for conduct assessment.
- Guide students in using the Faculty's specialized facilities, including drawing and design practice rooms.
- Coordinate the implementation of tasks under the Faculty's annual plan and KPI plan.
- Perform other duties assigned by the Faculty leadership.
REQUIREMENTS
Qualifications
- Bachelor's degree or higher.
- Candidates with a background in Education, Social Work, Management, Communication, Information Technology, or related fields are preferred.
Experience
- At least 1 year of experience in education, information technology, communication, or a related field.
- Experience working with, supporting, or regularly interacting with students is an advantage.
Skills
- Strong communication skills, particularly in communicating with and supporting students.
- Good listening, advising, and problem-solving skills.
- Good presentation and public speaking skills.
- Ability to build and maintain positive working relationships.
- Ability to coordinate effectively with lecturers, students, and university units.
- Good organizational skills and the ability to track and consolidate student information and data.
English and IT
- English proficiency at B1 level under the Vietnamese 6-Level Foreign Language Proficiency Framework or equivalent.
- Basic IT Application Certificate or equivalent.
